Data Retention Policy
Effective date: Immediately. This policy explains how CGT Strategist retains and removes account data.
1. Overview
CGT Strategist retains your data for as long as your account is active and in use. To keep our systems efficient and secure, we apply automatic retention rules to inactive and unpaid accounts. Accounts with any payment history are never subject to automatic deletion.
2. Paid accounts
If you have ever made a successful payment (including $0 promotional or whitelisted access), your account and all associated data are fully retained indefinitely. No automatic purging will ever apply to your account.
3. Inactive account deletion (18 months)
Accounts that have never made a purchase and have been inactive for 18 months or longer are scheduled for permanent deletion. Inactivity is measured as the most recent of your last login, last file upload, or last workspace activity.
Before deletion, you will receive a warning email 7 days in advance. Simply logging in during the warning period will cancel the scheduled deletion and reset the inactivity clock.
4. Unused account deletion (1 month)
Accounts that have never made a purchase, have no uploaded data, and have been inactive for 1 month or longer are scheduled for permanent deletion. This applies to accounts that were created but never used.
A warning email is sent 7 days before deletion. Logging in during the warning period will cancel the scheduled deletion.
5. What “permanent deletion” means
When an account is permanently deleted, all associated data is removed, including:
Account record
Your user profile, login credentials, and linked external accounts (Google, Microsoft).
All investment data
Trades, parcels, disposals, allocations, gains, CSV uploads, reports, and corporate actions.
Workspaces and settings
Workspaces, custom CSV mappings, and all account preferences.
This action is irreversible. Once deleted, data cannot be recovered.
6. How to prevent data loss
Make a purchase
Any successful payment permanently exempts your account from all automatic retention rules.
Stay active
Log in periodically to reset your inactivity clock. Uploading data or updating workspaces also counts as activity.
Act on warning emails
If you receive a deletion warning, simply log in within 7 days to cancel the scheduled action.
7. Manual data management
You can delete your data or account at any time through your account settings, regardless of payment status. This is separate from the automatic retention rules described above.
8. Updates to this policy
We may update this policy from time to time. Changes will take effect immediately upon publication. Continued use of the service means you accept the updated policy.
